Administrative Assistant


Reporting directly to the Head of Division (“Head of AMLD”), the Administrative Assistant is responsible for providing secretarial and administrative services to ensure effective and efficient operations of the Division.

RESPONSIBILITIES:

The successful candidate will:

• Organize and maintain all records and documents in an efficient filing system;

• Perform all necessary administrative services in a timely manner ensuring proper functioning of the Division in accordance with prescribed timelines;

• Organize and maintain schedule of all meetings ensuring that they are scheduled and completedin accordance with prescribed timelines;

• Maintain the inspection calendar and assist with following up on requests from regulated entities;

• Manage the Division’s attendance through maintaining records of staff vacation, sick days, personaldays, conferences, and other reasons for leave, and submits timely reports and documents to theHuman Resources Division;

• Ensure that the equipment inventory and supplies are sustained at a reasonable level and workingorder in order to accommodate the daily functions of the Division;

• Maintain intranet website pages and liaise with the Public Relations Division to upload newcontent;

• Assist with maintaining divisional spreadsheets and records;

• Assist with updating databases with quarterly/annual data received;

• Prepare general correspondence, routine reports, minutes of meetings, and/or form templates;

• Collect and log the Divisional mail daily in a timely manner and ensures prompt distribution to therespective staff member(s); and

• Perform CORIS and due diligence screenings (e.g. World check).

REQUIREMENTS:

• High school graduate with passes in English, Mathematics, and Information Technology;

• Three (3) years’ experience, with demonstrated performance capabilities, working in anadministrative role in a corporate environment;

• Qualifications in secretarial studies would be an asset;

• Knowledge of general administrative policies and procedures;

• Excellent writing skills and customer service recovery skills;

• Excellent organizational skills to accomplish straight forward tasks and work autonomously;

• Proven ability to display initiative and think ahead to anticipate future outcomes and how toeffectively deal with them; and

• Proficiency in Microsoft Office applications, especially MS Excel, Word, PowerPoint, and SharePoint.Caymanians, persons possessing Caymanian Status, Permanent Residency, or Residency Employment Rights Certificate need only apply.
