Administrative Assistant


Reporting to the Head of Division, the Administrative Assistant is responsible for providing secretarial and administrative services to ensure effective and efficient operations of the Division.

RESPONSIBILITIES:

The successful candidate will:

  • Perform all necessary administrative services ensuring proper functioning of the Division  in accordance with prescribed timelines;
  • Organize and maintain schedule of all training, conferences and meetings attended by the division;
  • Provide assistance, as required, pertaining to Director/Senior Officer applications;
  • Prepare routine reports and minutes of meetings.
  • Organize and maintain all records and documents (i.e. incoming and outgoing mail), in an efficient filing system;
  • Respond to queries, organizes and follow up to ensure receipt of outstanding regulatory reports and filings in a timely manner (i.e. outstanding fees, regulatory returns etc.);
  • Makes travel arrangements and ensures that proper logistics are carried out;
  • Manages the Division’s attendance and submits timely reports to the Human Resources Division;
  • Ensures that the equipment inventory and supplies are sustained at a reasonable level and working order in order to accommodate the daily functions of the Division; and
  • Assists with projects and other ad-hoc tasks, as assigned.

REQUIREMENTS:

  • High school graduate with passes in English, Mathematics and Typing; or
  • Three (3) years’ experience, with demonstrated performance capabilities, working in an administrative role within a corporate environment.
  • Qualifications in secretarial studies would be an asset.
  • Knowledge of general administrative procedures;
  • Proficiency in Microsoft Office applications, especially MS Excel, Word, and PowerPoint; and
  • Excellent organizational and time management skills.

 Salary: CI $34,794 - $46,131 per annum
